== FOSS4G 2017 Lessons Learned ==

The Boston Team was thrilled to welcome the global OSGeo community and other interested parties to Boston in 2017. And we were extremely proud to set the attendance record of '''1,150 people''' while also delivering strong financial performance with a surplus of over '''$115,000 returned to OSGeo''', above and beyond full repayment of the advance that was provided to our Boston Local Organizing Committee (BLOC).

We benefited greatly from the guidance of past Chairpersons, and we look forward to sharing our lessons learned through this page. Our plan is to use a slightly different approach than some of the other material found on this Wiki. Indeed, we performed a lot of documentation and data collection ''in the process'' of producing the conference. As such, a good deal of the material we present will be links to shared Google documents and spreadsheets, with brief introductions and links presented on this page. And of course, we remain available to, and look forward to providing direct guidance to future conference teams beginning with Dar es Salaam and Bucharest.

Each abstract was assigned to three members of the committee with relevant experience, and they used a standard rubric to ensure the selection was a fair and equitable process. Thirty of these proposals were accepted and papers were requested from the proposers; another fourteen were accepted in the form of posters. The proposals were also reviewed separately by the program committee, and a number of authors subsequently withdrew their papers or posters in favor of a regular presentation with the approval of the program committee. The submitted papers were subsequently reviewed by two members of the committee, revisions were requested in many cases, and the resulting papers were included on the FOSS4G 2018 flash drive in the form of [https://scholarworks.umass.edu/foss4g/ proceedings that are also available online].

Some lessons learned:

# Organize the academic committee early enough so that it can hit the ground running immediately after the submission deadline. The committee’s recommendations were automatically accepted into the program, and it’s best to have that already known when the program committee begins to make its own selections.
# Many hands make light work. Even with 21 members on the committee, there were seven abstracts and four papers per reviewer, and some reviewers didn’t have the time to fully participate in the process. Their reviews were passed on to others, increasing their load and often taking them outside of their areas of expertise.
# When scheduling presentations, organize them by topic, whether or not they have an academic paper associated with them. Session speakers and audiences can benefit by having both academic and non-academic participants.

As our attendance numbers grew, we began to realize that we would exceed building capacity for the Harpoon Brewery. For this reason we limited the event to those who signed up for Early Bird (this also helped raise our Early Bird registrant numbers). After making this constraint and looking at our numbers, we noticed that we were still above building capacity. This is when we decided to create an Academic event, for those who wanted to connect with other academics and who would prefer this event over the Harpoon Brewery. We also split the Harpoon event into two time slots and gave the academics a choice to do both events. By doing so, we were able to accommodate all of the Early Bird registrants at this event.

== FOSS4G 2017 Lessons Learned ==

The Boston Team was thrilled to welcome the global OSGeo community and other interested parties to Boston in 2017. And we were extremely proud to set the attendance record of '''1,150 people''' while also delivering strong financial performance with a surplus of over '''$115,000 returned to OSGeo''', above and beyond full repayment of the advance that was provided to our Boston Local Organizing Committee (BLOC).

We benefited greatly from the guidance of past Chairpersons, and we look forward to sharing our lessons learned through this page. Our plan is to use a slightly different approach than some of the other material found on this Wiki. Indeed, we performed a lot of documentation and data collection ''in the process'' of producing the conference. As such, a good deal of the material we present will be links to shared Google documents and spreadsheets, with brief introductions and links presented on this page. And of course, we remain available to, and look forward to providing direct guidance to future conference teams beginning with Dar es Salaam and Bucharest.

This will be a work in progress over the coming weeks.

The [[FOSS4G_2017#Academic_Committee | Academic Committee]], co-chaired by [[User:Zia | Mohammed Zia]] and [[Charlie Schweik]], consisted of 21 individuals with a broad set of academic backgrounds who separately reviewed 49 proposals out of the 411 submissions that requested academic consideration. Each abstract was assigned to three members of the committee with relevant experience, and they used a standard rubric to ensure the selection was a fair and equitable process. Thirty of these proposals were accepted and papers were requested from the proposers; another fourteen were accepted in the form of posters. The proposals were also reviewed separately by the program committee, and a number of authors subsequently withdrew their papers or posters in favor of a regular presentation with the approval of the program committee. The submitted papers were subsequently reviewed by three members of the committee, revisions were requested in many cases, and the resulting papers were included on the FOSS4G 2018 flash drive in the form of [https://scholarworks.umass.edu/foss4g/ proceedings that are also available online].

As our attendance numbers grew, we began to realize that we would exceed building capacity for the Harpoon Brewery. For this reason we limited the event to those who signed up for Early Bird (this also helped raise our Early Bird registrant numbers). After making this constraint and looking at our numbers, we noticed that we were still above building capacity. This is when we decided to create an Academic event, for those who wanted to connect with other academics and who would prefer this event over the Harpoon Brewery. We also split the Harpoon event into two time slots and gave the academics a choice to do both events. By doing so, we were able to accommodate all of the Early Bird registrants at this event.

I have been programming since the mid-1970s, primarily for scientific applications but also including open-source software, beginning with Fortran and C and continuing most recently with JavaScript, Python, R, and SQL. I currently teach occasional classes with FOSS4G and write documentation for using FOSS4G in my position as Academic Technology Specialist for Mathematical and Spatial Data Analysis at Amherst College, in my role as Adjunct Assistant Professor in Environmental Conservation at the University of Massachusetts, and as a member of GeoForAll. * Recruit an Academic Chair (and co-Chair) who will manage the AT in interaction with the AT Committee
* Have a dedicated mailing list for the AT committee to interact regarding selection of presentations and organization of the AT.
* Make sure that the Academic Chair and co-Chair are physically present at the FOSS4G event to ensure smooth conduct of the AT sessions and also selection of presentations for OSGeo student awards.
* Academic chair must also ensure that AT session chairs are selected well in advance.

=== Presentations, Evaluations, and Student Awards ===
* Beyond the review of the papers, the actual presentations should also be reviewed at the conference.
* Request that the Program Committee schedule the presentations and poster session *before* the last day of the conference, so that the committee has time to summarize their evaluations.
* Provide evaluation form to the AT session chairs, to evaluate each presentation and give their recommendation for the student award and for publication in academic journals subsequent to the conference.
* Have the conference staff collect the AT evaluation forms and hand over to AT Chair or co-Chair for selection of presentation for student award and journal publication.
* Have the AT Chair organize a student awards selection committee comprising of AT session chairs and have the committee come up with the names of awardee at least one hour before the student awards ceremony.
* Ensure that the AT Chair or co-Chair interact with the LOC to get high-quality certificates for the student awards and get it signed by the Conference Chair and OSGeo President at least 30 minutes before the awards distribution ceremony.
* Interact with the LOC during the event and arrange for the cash prize for the OSGeo Student award to put in an nice envelope with the OSGeo logo before handing it to the winning student.

* Have the AT Chair and co-Chair take up the publication of a digital AT Proceedings based on full paper submission. Having a full paper published in the AT proceedings is important for students and generally AT presenters.
* Have the AT Chair and/or co-Chair arrange for selected AT papers to be published in peer-reviewed journals within 6-8 months. The sample copies of journal are displayed at the next FOSS4G event. (BTW, selected papers from AT at FOSS4G-2015 were published in multiple issues of the [http://www.springer.com/earth+sciences+and+geography/geographical+information+systems/journal/41324 "Spatial Information Research"] and sample copies were displayed and distributed at FOSS4G-2016).

=== Poster Presentations ===
* Have more poster presentations. Poster presentations only require only a panel to mount the poster. Larger numbers of posters would ensure that we will need to reject fewer presentation for lack of time. In a conference with 900 participants at a big convention center, the poster session could easily accommodate 40-50 posters.
* Ensure that there is a "core time" for the poster session when the poster presenters are available in front of their posters to answer questions.
* Also, have a Poster Session Chair/co-Chair to assist in the conduct of the poster session and also provide evaluation of posters for OSGeo Student Poster Award.

== Birds Of A Feather (BoF) ==

BoF sessions are informal gatherings of people around a specific topic. BoF's can be held in BoF rooms, the BoF lounge, or can be taken off site for lunch or dinner. FOSS4G will provide space, but the programming of events should be done informally through the community using the wiki and the on site BoF board.

BoF sessions rooms will be available through regular session times. There Are two rooms setup theater style without AV that are available. There will also be a lounge available on the trade floor to gather small groups. We will put a BoF organizing board next to the lounge for on site organization.

== Birds Of A Feather (BoF) ==

BoF sessions are informal gatherings of people around a specific topic. BoF's can be held in BoF rooms, the BoF lounge, or can be taken off site for lunch or dinner. FOSS4G will provide space, but the programming of events should be done informally through the community using the wiki and the on site BoF board.

BoF sessions rooms will be available through regular session times. There Are two rooms setup theater style without AV that are available. There will also be a lounge available on the trade floor to gather small groups. We will put a BoF organizing board next to the lounge for on site organization.

I currently teach occasional classes with FOSS4G and write documentation for using FOSS4G in my position as Academic Technology Specialist for Mathematical and Spatial Data Analysis at Amherst College, and my role as Adjunct Assistant Professor in Environmental Conservation at the University of Massachusetts. I am also serving on the Boston Local Organizing Committee for FOSS4G 2017.
